Terms of Service
Last updated: 24 August 2026
These Terms govern your use of QuoteHQ ("QuoteHQ", "we", "us"), online quoting software for tradespeople and trade businesses. By creating a QuoteHQ account or using the service you agree to these Terms. If you do not agree to them, please do not use QuoteHQ.
1. The service
QuoteHQ is a web application that helps you price jobs and produce customer-facing quotes. Using QuoteHQ you can:
- Build job quotes with job title, description, dates and notes.
- Calculate labour, including your labour, employee labour and subcontractor labour, priced hourly or as a fixed amount.
- Add materials line by line, apply a waste allowance and a material markup, and save materials to your Materials Library for reuse.
- Apply a profit percentage and calculate GST and final quote totals.
- Save quotes, number them, and track a quote status with a change history.
- Store customer records and search them, including by email.
- Save a company profile (including a logo) used on your quote PDFs.
- Generate and download a customer-facing PDF quote.
QuoteHQ is a software tool only. It does not carry out trade work and does not provide accounting, tax, legal, engineering, quantity-surveying or professional estimating advice.
2. Eligibility and accounts
To use QuoteHQ you must be at least 18 years old, have authority to agree to these Terms (including on behalf of a business, if you are signing up for one), and use QuoteHQ primarily for business or trade purposes.
You create an account with an email address and password, or by signing in with Google. You agree to provide accurate account information, keep your login credentials secure, and take reasonable care with anyone you allow to use your account. You are responsible for activity carried out through your account, except where that activity results from a failure on our side. Please tell us promptly if you believe your account has been accessed without your permission.
3. Your content and customer data
You keep ownership of everything you enter into QuoteHQ: your quotes and job information, your customer records, your company profile and logo, and your Materials Library. You grant us only the limited rights needed to run the service for you — to store, process, display, back up and export that content, and to generate your quote PDFs.
QuoteHQ lets you record personal information about your own customers, such as names, phone numbers, email addresses and job addresses. You are responsible for having the right to collect and use that information and for handling it in line with your own obligations under the Privacy Act 2020. How we handle personal information is set out in our Privacy Statement.
4. Quotes, calculations and GST
QuoteHQ calculates labour, materials, waste allowance, material markup, profit, GST and final quote totals from the figures and settings you enter. The output is only as accurate as the information you give it.
You remain responsible for checking, before you send a quote to a customer:
- Quantities, units and material prices.
- Labour hours, rates, fixed amounts and subcontractor pricing.
- Your waste allowance, material markup and profit settings.
- GST treatment and the final quote total.
- Whether the quote is complete and suitable for that job and customer.
We do not guarantee that a quote produced in QuoteHQ is commercially profitable, complete, or appropriate for a particular job. This does not exclude our responsibility for a genuine defect in the QuoteHQ software itself.
QuoteHQ is built around New Zealand GST at 15%. It can help you calculate GST, but you remain responsible for deciding whether you are GST registered, whether GST applies to a job, and for meeting your own tax and reporting obligations.
5. Beta access
QuoteHQ is in beta. We may provide free beta, tester, trial or promotional access. That access may be limited in duration, changed or withdrawn, and may include unfinished or experimental features. During beta you may encounter bugs, interruptions or changes to how features work.
Beta status does not reduce the care we take with your information or the security of the service. Because features are still changing, we recommend you keep your own copies of important customer-facing quotes — you can download a PDF of any quote, and export your full account data from Settings.
6. Subscriptions and payments
QuoteHQ does not currently charge for access and does not process payments. Paid subscriptions may be introduced in the future. If they are, pricing, currency, GST treatment, billing frequency, renewal, cancellation and refund terms will be shown clearly before you purchase a plan, and these Terms will be updated accordingly.
If we later change the price of a paid plan, we will give existing subscribers reasonable advance notice before the new price applies to their next renewal.
7. Acceptable use
When using QuoteHQ you must not:
- Use the service unlawfully, fraudulently or to misrepresent a quote.
- Attempt to access another user's account or data.
- Attempt unauthorised access, interfere with security, or distribute malware.
- Scrape, overload or disrupt the service or the systems it runs on.
- Resell or share access to your account where we have not authorised it.
8. Intellectual property
You own your customer data, quote information, company details and any branding you upload. We claim no ownership over them.
We own the QuoteHQ software, code, design, brand and product content, and all associated intellectual property. While you have authorised access, you have a limited, non-exclusive, non-transferable right to use QuoteHQ for your own business purposes.
9. Availability and changes to the service
We aim to keep QuoteHQ available and working well, but we cannot guarantee uninterrupted or error-free operation. The service may be unavailable at times due to maintenance, updates, technical faults, third-party outages, or events outside our reasonable control.
We may improve, update or modify QuoteHQ over time. Where a change would substantially reduce important functionality you rely on, we will give reasonable notice where practicable. You can export your account data from Settings at any time, and we encourage you to keep your own copies of important records.
10. Consumer and business law
Nothing in these Terms limits rights you have under New Zealand law that cannot lawfully be excluded, including under the Consumer Guarantees Act 1993 and the Fair Trading Act 1986.
QuoteHQ is supplied for business purposes. Where you acquire QuoteHQ in trade and we are also in trade, we each agree that the Consumer Guarantees Act does not apply, to the extent permitted by section 43(2) of that Act — that is, only where the agreement is in writing, we have both agreed to contract out, and it is fair and reasonable for us to do so. If you use QuoteHQ other than in trade, this paragraph does not apply to you and your consumer guarantees remain in full.
11. Liability
To the extent permitted by law, we are not liable for indirect or consequential loss, including lost profits, lost business, lost jobs, or loss arising from a quote you sent without checking it. You are responsible for reviewing every quote before it goes to a customer.
Nothing in this section excludes or limits liability that cannot lawfully be excluded or limited, including liability for fraud, or under the Consumer Guarantees Act or Fair Trading Act where those apply. Any limitation of our total liability will be set out here before paid plans launch, and will be a reasonable amount rather than nil.
12. No professional advice
QuoteHQ does not provide accounting, tax, legal, engineering or quantity-surveying advice. Where you need advice of that kind, please consult a suitably qualified professional.
13. Suspension and termination
We may suspend or terminate access to an account on reasonable grounds, such as a serious breach of these Terms, fraud, illegal use, a threat to security, or non-payment once paid plans exist. Where reasonable we will let you know first, but we may act immediately where that is necessary to protect the service, other users, customer information or system security.
You can stop using QuoteHQ at any time. You can delete your account yourself in Settings under Data & Privacy; doing so permanently removes your quotes, customers, company profile and logo, Materials Library and saved settings, and cannot be undone.
If we ever discontinue QuoteHQ, we will give affected users advance notice where reasonably possible and an opportunity to export their data first.
14. Data after termination
When you delete your account, your quotes and quote status history, customers, company profile and logo, Materials Library, settings and login record are deleted from our live database. Copies may remain in routine system backups for a limited period before those backups are cycled out, and we may retain information where the law requires it. This matches our Privacy Statement.
15. Communications
We may send you essential service messages, such as email confirmation, password resets, security alerts, important service notices and notice of material changes to these Terms. These are part of running your account and cannot be turned off while you have one. Marketing emails are separate: if we introduce them, they will be optional and handled in line with applicable law.
16. Changes to these Terms
We may update these Terms from time to time. For minor changes, publishing the updated Terms on this page is enough. For material changes affecting existing users, we will give reasonable notice in the app, by email, or another appropriate method before they take effect.
17. Governing law
These Terms are governed by New Zealand law. The New Zealand courts have non-exclusive jurisdiction over any dispute arising from them.
18. Contact
Questions about these Terms can be sent through our contact page.
